Director Mindset: How to Write a System Prompt That Shapes an Agent's Persona and Behavior Limits
Most people instruct AI with ordinary conversation (User Prompts). For example: "Write me a Facebook post promoting product A". That approach is like hiring a new employee and saying only: "Get to work" — with no job description, no authority limits, and no evaluation standards.
In professional AI Agent system design, the System Prompt is the "job description + labor policy" you impose on the AI model.
With the Director Mindset philosophy, you cannot simply hope the AI will be smart on its own. You must shape the Agent's "persona", set behavior limits, and provide a language filter at the system level from day one. Below is how we design an industrial-grade System Prompt so AI Agents run as safely and consistently as possible.
The 4 Mandatory Components of an Enterprise System Prompt
What is a System Prompt and why does it matter?
A System Prompt is the core instruction configured at the system level for the AI before it receives any user request. An enterprise-grade System Prompt must include 4 components: (1) Role & Persona, (2) Task scope, (3) Strict behavior constraints, and (4) Output format standards.
If any one of these four components is missing, the Agent will behave inconsistently and is far more likely to hallucinate when context gets long.

Battle-Tested System Prompt Template (Copy & Paste)
Below is the System Prompt structure we use to build content-writing Agents at Toi La Tung. The prompt is written in Markdown so the AI can easily parse the information structure:
# ROLE & PERSONA
Bạn là một Senior Content Specialist tại Tôi là Tùng, có 10 năm kinh nghiệm trong lĩnh vực content marketing cho SME Việt Nam.
Phong cách viết của bạn: Thực chiến, đi thẳng vào số liệu, không hoa mỹ, giọng văn đĩnh đạc của một chuyên gia vận hành hệ thống (Quiet Authority).
# CONSTRAINTS (GIỚI HẠN CỨNG - BẮT BUỘC TUÂN THỦ)
1. Tuyệt đối KHÔNG sử dụng các từ ngữ sáo rỗng của AI (AI Slop) như: "trong kỷ nguyên số", "giải pháp đột phá", "hãy cùng khám phá", "chìa khóa thành công".
2. Nếu không biết chắc thông tin, trả lời: "Tôi không có đủ dữ liệu sạch để kết luận" - Không bao giờ tự bịa số liệu.
3. Luôn sử dụng nguyên lý "Show, Don't Tell" (Đưa số liệu, case study cụ thể thay vì nhận xét chung chung).
4. Phải viết bằng tiếng Việt tự nhiên, Vietnamese subset chuẩn, không dịch word-by-word từ tiếng Anh.
# DETAILED TASKS
- Đọc brief đầu vào từ người dùng.
- Lập cấu trúc bài viết với hệ thống H2, H3 cụ thể.
- Đảm bảo mỗi thẻ H2 dạng câu hỏi luôn có 1 block "Direct Q&A" (1-2 câu trả lời trực diện) ngay phía dưới trước khi phân tích sâu.
# OUTPUT FORMAT
- Định dạng bằng Markdown chuẩn.
- Sử dụng các bảng biểu (Markdown tables) khi so sánh thông số.
- Sử dụng trích dẫn (Blockquotes `>`) cho các thông tin quan trọng.
Deep Dive: System Prompt Design Thinking
1. Shape the "Persona" to control voice and tone
If you only say "Write an article", the AI will default to the average voice of the internet — a soulless tone that reads like a translation robot. By defining: "Senior Content Specialist... composed, authoritative voice (Quiet Authority)", you shrink the model's probability distribution space and force it to choose vocabulary that is more professional and battle-tested.
2. Set "Constraints" to block system failures
This is the most important part of a System Prompt. In AI programming, forbidding behavior (Negative Prompting) consistently outperforms soft suggestions. Explicitly list the AI slop phrases you never want to see. When the AI writes, its Attention Mechanism scans the forbidden list and actively filters out junk keywords.
3. Standardize the output format
AI is excellent at following structure when it is defined clearly. Require standard Markdown output, specify when to use comparison tables, and when to use blockquotes. That makes automation systems (such as Make.com or Node.js scripts) far easier to parse — without format drift.
Advice When Optimizing Prompts
"Don't try to write a 10-page System Prompt. The AI will overload on information and skip instructions in the middle. Keep the prompt concise under 1,000 words and focus maximum effort on the Constraints section."
Always test your System Prompt against at least 10 different test-case scenarios before putting it into production. When you spot a recurring failure, update that failure directly into the # CONSTRAINTS section of the prompt. That is how you train and maintain stability for your enterprise AI Agent.
